Setting Up Cover Requirements

Looks at how to identify cover required for areas of the organization.

There may be need to create cover at two levels:

 

·      Minimum – cover required for health and safety.

·      Suggested – optimum level for the organisation.

 

Minimum levels will usually be lower than suggested levels.

 

Set cover levels for any individual part of the organization or for the whole. Specifying of ranks and/or skills is available.

 

View actual strengths compared with minimum and suggested cover levels through the Cover Graph. (See Resource Cover)

Creating cover requirements

Select General Maintenance > Cover

 

 

·      Select the Organization Structure to create cover for.

·      Select Rank (if required).

·      Select Skill Group and Skill (if required).

·      Select Date.

·      Click Minimum cover or Suggested cover as required.

·      Click Show current cover graph

 

Any current cover, relevant for the date selected, will be displayed

 

·      Enter number of personnel to apply in Cover Value.

·      Click on each underlined “hour” to apply the Cover Value to.

·      Click Update current cover.

 

If there is core cover requirement for each hour, enter that number in Cover Value and click Set All. Then amend only the hours that differ.

There is only a need to create cover for each physical day of one week. These values will roll on for all future dates of the same weekday until you change them. This means, if it is required to have seasonal cover, you only need to create 2 sets of cover per year.

Viewing your progress

Having created cover: check against the actual strength before leaving the maintenance window.

 

·      Click Show current cover graph.

Table format:

 

Change any organization, rank, skill, date or graph/table information and click Refresh to change the cover graph.

Although the example above clearly shows minimum and suggested cover levels, the Resource Cover Graph can be opened without having setup up any minimum cover levels.
